Stage 04 — Questions

Frequently asked questions

The questions every prospective client asks — answered the way we'd answer them on a call. Anything missing? Ask in your consultation.

Cost & timeline

How much does a custom CRM cost?

Most first versions land between the cost of two and five years of per-seat licenses for a comparable team on an off-the-shelf platform. After discovery, you receive a fixed-price blueprint — the number you approve is the number you pay. Ongoing support runs on a predictable monthly retainer.

How long does development take?

Typical first launches take 8–14 weeks from kickoff, depending on the number of integrations and data migration complexity. You'll see a working demo every two weeks from week four onward.

Can we start small and grow the system later?

Yes — most clients do. A common path is a focused first version (pipeline, contacts, one or two integrations) followed by phased additions like portals, mobile apps, or deeper automation. The blueprint is designed so early phases don't need rework later.

Ownership & technology

Who owns the code and the data?

You do. Full source code, database, and documentation are handed over, and the system runs on infrastructure in your name. There is no lock-in — any competent development team could take over maintenance.

Can you migrate our existing CRM or spreadsheets?

Yes. Migration is a standard phase of every project: we export, deduplicate, validate, and map your historical contacts, deals, notes, and files into the new structure, then run a verification pass with your team before go-live.

What about security and compliance?

Systems are built with encrypted data at rest and in transit, role-based access control, audit logging, and automated backups. Where your industry requires it, we design for standards such as GDPR-aligned data handling and healthcare privacy requirements, and we document the controls for your auditors.

Will it work on mobile?

Every system we build is responsive and works in a mobile browser. Where field teams need more — offline work, GPS check-ins, signature capture — we build dedicated iOS and Android apps from a single codebase.

Working together

What happens after launch — are we on our own?

No. Every project includes 30 days of hyper-care, and most clients continue on a support retainer that covers monitoring, fixes, and a steady stream of improvements. Quarterly reviews keep the roadmap aligned with your business.

We already use a CRM. Can you extend it instead of replacing it?

Often, yes — and we'll tell you honestly when that's the cheaper, better path. We regularly build custom modules, portals, and integrations on top of existing platforms rather than replacing them.

How involved does our team need to be?

Most involved during discovery (a few hours of interviews across your team) and at each two-week demo (about an hour). One person on your side acts as the decision-maker for scope questions. We handle the rest.

What does the free consultation involve?

A 45-minute call where we map your current process, identify the biggest friction points, and outline what a custom system (or an extension of your current one) would look like. You leave with a clear recommendation either way — there's no obligation.
